It works when the couple wants something physical to keep, when the set includes large video files that are slow to download, when a family has a weak internet connection, or when the parents simply do not use online links. What a USB delivery really costs

A USB delivery has costs that do not show on an invoice: the drive, a case, a courier, the time you spend copying and checking, and the time you spend when a drive goes missing. A simple way to count it is: cost per wedding = drive + case + courier + hours spent x your hourly rate, plus a share of the re-sends.

For example only, with made-up numbers you should replace with your own: a drive and case at Rs 500, a courier at Rs 150, and 1.5 hours at Rs 400 an hour comes to Rs 1,250 per wedding, and 20 weddings a year is Rs 25,000. Count one lost drive a year and you add a second copy, a second courier and an awkward phone call. How many photos fit on a pen drive

The table uses the same assumed file sizes as above, 5 MB, 10 MB and 20 MB per edited JPEG. A drive always shows a little less usable space once it is formatted, so leave a margin.

A multi-day wedding of 2,500 edited photos at 10 MB is about 25 GB, so a 32 GB drive is enough and a 64 GB drive leaves room for a video highlight. If you also include video, check the total before you buy the drive.

How to deliver on USB safely if you still do

1. Copy the edited set to two drives, and keep one at the studio until the couple confirms they have the photos.
2. Open a sample of files from the drive on a different computer before you send it, to check the copy is complete and readable.
3. Label the drive with the couple's names and the wedding date, and put a short text file on it with your studio name and contact number.
4. Use a tracked courier, and send the couple the tracking number the same day.
5. Ask the couple to copy the files to two places within a week of receiving the drive, such as a laptop and a cloud account.
6. Send an online copy as well, so a relative abroad can open the photos without waiting for the box.
